Update your stock

Set stock after a count, record stock that has moved, and read the Inventory page.

Updated 24 Oct 2026

To update stock, open the product in Products and use the Update stock card to set a new total after a count or to record stock that has moved. Hapro keeps stock for each variant at each of your locations. The assistant uses it to tell customers what is available at their shop, and reserves it when an order is placed.

Change stock for a product

  1. Open Products and select the product.
  2. In the Update stock card, choose the Variant and the Location.
  3. Under What are you doing?, choose one:

    • Counted the shelf (set the total), then enter the number you counted in Counted and select Set stock.
    • Something moved (add or remove), then enter the difference in Change by and select Apply change.
  4. Add a Note if it helps your team understand the change later.

A product needs at least one variant before you can set its stock.

Read the Inventory page

Inventory in the sidebar shows stock for every variant at every location. It is an overview. To change a number, open the product.

  • On hand is how many you have.
  • Reserved is stock held for a short time for customers' baskets and for orders that are waiting to be paid, so two customers cannot be promised the same item.
  • Sellable is what the assistant can still offer.
  • Last sync shows when stock from a connected store was last updated. Stale means it has not been updated for more than an hour.
